Job Summary

We are seeking a strategic and results-driven Business Manager to oversee and drive operational excellence across our organization. The ideal candidate will have a strong foundation in business management, with a cross-functional understanding of professional service practices, KPI and performance metrics, finance, and core business operations. This role requires a blend of analytical thinking, leadership, and business acumen to align departmental goals with broader organizational strategy.

 

Key Responsibilities

  • Cross-Functional Team Leadership
    • Lead and support teams across Project Management, Implementation, Product, Documentation, and Development to ensure alignment, execution, and operational excellence.
    • Foster interdepartmental collaboration and ensure clear communication across teams.
    • Provide guidance and coaching to team leads and supervisors.
  • Project & Delivery Oversight
    • Oversee delivery of client and internal projects, ensuring scope, timelines, and quality standards are met.
    • Implement and refine project governance and delivery frameworks (e.g., Agile, Waterfall).
    • Track project KPIs, risks, and resource allocation.
  • Strategic Planning & Performance Metrics
    • Develop and track key performance indicators (KPIs) aligned with business goals.
    • Identify process improvements and lead strategic initiatives to improve delivery, efficiency, and customer outcomes.
    • Support quarterly and annual planning cycles, resource forecasting, and performance reviews.
  • HR & People Operations
    • Partner with HR on team structure planning, recruitment, performance management, and talent development.
    • Help define roles, set individual and team KPIs, and support leadership in performance reviews and development plans.
  • Finance & Budget Support
    • Collaborate with finance on budgeting, tracking departmental spend, and optimizing cost-efficiency.
    • Monitor team utilization rates, project profitability, and revenue contribution of service functions.
  • Sales Alignment & Client Delivery
    • Work closely with Sales and Customer Success to align scope, delivery capacity, and expectations.
    • Support pre-sales activities such as proposal development, resource estimation, and transition planning.
    • Ensure strong feedback loops between clients, delivery, and product teams.
  • Administrative Oversight
    • Manage and streamline day-to-day administrative operations to ensure smooth internal workflows and adherence to company policies.
    • Oversee office facilities management, procurement, vendor relationships, and general administrative support services.
    • Maintain and update internal documentation, procedures, and records to ensure organizational compliance and readiness
  • IT Infrastructure and Systems Support
    • Oversee the company's IT infrastructure, ensuring systems are secure, reliable, and scalable to support business needs.
    • Coordinate with internal IT teams or external providers for hardware and software procurement, license renewals, asset management, and troubleshooting support.
    • Develop and maintain IT policies (e.g., acceptable use, data security, backup, access control) and ensure compliance across departments.
  • Insurance Monitoring and Risk Management
    • Monitor and maintain all company insurance policies, including but not limited to general liability, professional liability, cyber liability, and property insurance.
    • Liaise with brokers and insurers for renewals, claims management, and policy adjustments.
    • Ensure all employees and assets (e.g., laptops, equipment) are properly covered and documented.
    • Track coverage limits and alert management of upcoming renewals or compliance requirements.
  • Vendor and Contract Management
    • Negotiate and manage contracts with service providers, including IT vendors, office suppliers, insurance brokers, and facility maintenance providers.
    • Monitor service level agreements (SLAs) and ensure vendor performance meets operational standards.

 

Qualifications

  • Education
    • Bachelor’s degree in Business Administration, Management, Finance, or a related field. A Master’s degree or MBA is a plus.
  • Experience
    • A minimum of 5 years of experience in business management, operations, or a comparable role is required, ideally within a professional services and/or SaaS environment.
    • Strong understanding of financial statements, budgeting, and performance metrics.
    • Demonstrated track record of improving processes, reducing costs, and enhancing overall business performance.
  • Skills
    • Excellent leadership, communication, and interpersonal skills.
    • Proficient with software tools for financial reporting, project management, and communication.
    • Ability to manage multiple priorities in a fast-paced environment while maintaining strong attention to detail.
    • Demonstrated critical thinking and problem-solving skills, with an ability to implement process improvements effectively.
    • Analytical mindset with the ability to solve complex problems and make data-driven decisions.
    • Advanced knowledge of business operations, budgeting, and financial reporting.
    • Exceptional verbal and written communication skills, with the ability to articulate expectations clearly and hold oneself and others accountable.
    • Ability to communicate effectively with senior leadership, department managers, and stakeholders, fostering transparency and accountability.
  • Technical Skills
    • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and business management software.
    • Experience with CRM, ERP, and/or other business management systems is a plus.
    • Proficient in project management software and tools (Smartsheet, Jira and Confluence).
    • Proficient using communication tools like Slack and Zoom for team collaboration and virtual meetings.
  • Certifications
    • Project Management Professional (PMP) or similar certification is a plus
    • Lean Six Sigma or other process improvement certifications is a plus
